Optimizing Email Filing with ZERO

This article provides steps to enhance the efficiency and accuracy of your email filing process using ZERO's AI capabilities within Outlook. By following these best practices, you will streamline your workflow, improve prediction accuracy, and contribute to the continuous improvement of ZERO's predictive capabilities, leading to a more efficient email filing process.

  1. Improving Prediction Accuracy | Addressing Emails Categorized as “None”:
    • Emails appearing under the category “None” in your Outlook inbox are those without any AI predictions for filing.

    • To enhance the AI’s learning and increase the accuracy of future predictions, start your filing process with items in this category, prioritizing older emails within the sync period (5 years by default). Filing older emails first, especially from a specific client, can positively influence the AI’s predictions, making all newer emails from that client "Ready to File."

  2. Efficient Bulk Filing | Bulk Filing with Correct Predictions:
    • When reviewing emails within a specific Client/Matter category in your inbox, if you confirm that the AI’s prediction is correct, you can efficiently file all related items at once.
    • Select all items within the category, then utilize the ZERO Pane to file them collectively under the appropriate Client/Matter. This method significantly speeds up the filing process while ensuring accuracy.

  3. Finalizing Your Session | Refreshing for Updated Predictions:
    • Upon completing your filing session, press the Refresh button located in the right corner of Outlook.

    • This action updates Outlook with your changes and triggers the generation of new ‘Ready to File’ indicators, preparing the system for your next filing session. It ensures that your mailbox reflects the latest status and allows the AI to present you with updated filing suggestions.
