Mailbox Configuration

This article outlines the steps for configuring your mailbox to enhance filing efficiency and organization. By following these steps, you can significantly improve the organization and functionality of your mailbox, leading to a more efficient workflow and easier access when using ZERO's Lawyer Offboarding tool.
- Enable Cached Mode:
- Ensure that Outlook's cached mode is enabled and set to cache the entire mailbox data.

- Disable the Reading Pane:
- Navigate to the View pane.
- Select Reading Pane and turn it off. This step ensures a more organized view of your mailbox right from the start.
- Customize Group Settings | Adjust View Settings for Grouping:
- Right click the column bar in your Inbox, go to View Settings, and select Group By.
- If the option Automatically group according to arrangement is checked, uncheck it.
- At the bottom of the window, expand the Select available fields from drop-down menu and choose User Defined fields in folder. This setting enables grouping by ZERO’s columns, first by filing status, then by destination (client/matter), optimizing item organization.
- At the top of the window, choose whether to group items by Destination or ZeroFilingStatus.
- Right click the column bar in your Inbox, go to View Settings, and select Group By.
- Organize Your Inbox | Collapse Groups for a Streamlined View:
- After adjusting your settings, right-click the group header in your inbox.
- Select Collapse All Groups. This action organizes your inbox by filing matter, simplifying the identification and access to different categories.
- Correct Client/Matter Assignments | Adjust Incorrect Predictions:
- In the event of incorrect client/matter assignments, select the relevant matter within the collapsed mailbox view.
- Adjust the client/matter information to the correct designation, ensuring accurate categorization.
- Extend Organized View to Other Mailboxes | Apply Settings Across Mailboxes:
- To extend this organized view to additional mailboxes, go to the View tab and select Change View.
- Select Apply Current View to Other Mail Folders.
- Choose the folders you wish to apply this organized filter view to.
- Sort emails | Get subscribed emails into one place:
- On the left side of the Outlook window, right click the Search Folders segment to open the New Search Folder screen and select Create a custom Search Folder.
- In the Custom Search Folder screen, type in Subscriptions in the Name field and click OK.
- Click the Criteria... button to specify what items this Search Folder contains. In the Search for the word(s) field, type unsubscribe, and click OK.
- In the Customize “Subscriptions” screen, click Browse... to view all the folders in the Mailbox.
- Select only Inbox and Sent Items and deselect the mailbox itself to exclude deleted items from the results.
- On the left side of the Outlook window, right click the Search Folders segment to open the New Search Folder screen and select Create a custom Search Folder.
By adding the Subscriptions folder to your Search Folders in Outlook, all the emails with the unsubscribe button will be gathered in one place.
