iTimekeep Integration

This article introduces you to the integration with the iTimekeep time tracking system.

The integration with iTimekeep allows ZERO to collect and send either only assigned or both assigned and unassigned activity time entries for email conversations to iTimekeep. ZERO supports the following types of time entry calculations:

  • Task Billing – activities from different conversations assigned to the same matter for the same day will be posted in iTimekeep as separate time entries for each day when those activities were recorded.
  • Block Billing – activities from different conversations assigned to the same matter for the same day will be grouped into a single time entry in iTimekeep for each day when those activities were recorded.
  • Activity Billing – activities will be posted in iTimekeep as separate time entries when those activities were recorded.

Note:  Time entry calculation approaches are configurable. For now, ZERO calculates the time in the Task Billing counting method. However, if you want your time entries to be calculated using Block Billing or Activity Billing methods, please refer to your IT department for assistance.

After logging into iTimekeep, you will have access to a variety of features and tools to help you manage your time and activities. On the iTimekeep screen, you can manage the following:

  • Enable iTimekeep - Toggle the Enable iTimekeep switch to On/Off to enable/disable the integration with the iTimekeep time tracking system.
  • iTimekeep Sending Preferences - Customize how your time entries are sent to iTimekeep. For more details, see iTimekeep Sending Preferences.
  • Time Preferences - Set your time rounding and minimum time threshold preferences. For more details, see Time Preferences.
  • Remove Account - Remove your iTimekeep account if you ever need to do so.

Logging into iTimekeep

To log in to your iTimekeep account:

  1. Go to _icon_-_settings.png Settings > Integrations.
  2. Tap iTimekeep. You are directed to the iTimekeep Login screen.
    Note:  If you are already logged in, you will be taken directly to the iTimekeep screen where you can perform various activities such as enabling/disabling iTimekeep, setting your time and sending preferences, or removing your account if needed.
  3. Enter your iTimekeep username and password.
  4. Click Log in. You are now logged into your iTimekeep account and directed to the iTimekeep screen.

iTimekeep Sending Preferences

To define what you want to send to iTimekeep:

  1. Navigate to iTimekeep > iTimekeep Sending Preferences.
  2. Define the following preferences:
    • Sending Type
    • Activities

Note: All your selections can be changed any time for each account in the account settings.

Sending Type

To define what you want to send to iTimekeep:

  1. Navigate to iTimekeep > iTimekeep Sending Preferences.
  2. Select Sending Type. The Sending Type screen is displayed.
  3. Tap on the respective field to choose one of the following options:
    • Activities and Time - Your activities and their durations are sent to your time entry system.
    • Only Activities - Only activities are sent to your time entry system. No time data is sent to iTimekeep.

Note: Sending Type can be pre-configured at the firm level by your IT. In this event, it is possible that this option may be pre-selected for you, and you may not be able to view or select between these options.

 

Activities

To define what you want to send to iTimekeep:

  1. Navigate to iTimekeep > iTimekeep Sending Preferences.
  2. Select Activities. The Activities screen is displayed.
  3. Tap on the respective field to choose one of the following options:
    • All Activities - Both assigned and unassigned activities are sent to your time entry system.
    • Only Assigned Activities - Only assigned activities are sent to your time entry system.

Time Preferences

To set your time preferences:

  1. Navigate to iTimekeep > Time Preferences.
  2. Define the following preferences:
    • Time Rounding
    • Minimum Time Threshold

Note:  All your selections can be changed any time for each account in the account settings.

Time Rounding

To define time rounding:

  1. Navigate to iTimekeep > Time Preferences.
  2. Select Time Rounding. The Time Rounding screen is displayed.
  3. Toggle the Enable Time Rounding switch to On/Off to enable/disable time rounding.
  4. When enabled, the  Time Rounding  field is available allowing you to choose a number and a unit of time (seconds, minutes, or hours) for your time rounding.

Note:  ZERO rounds up your tracked time by your selection if no matter-specific rounding rules are included in your iTimekeep.

 

Minimum Time Threshold

To define minimum time threshold:

  1. Navigate to iTimekeep > Time Preferences.
  2. Select Minimum Time Threshold. The Minimum Time Threshold screen is displayed.
  3. Toggle the Set Minimum Time Threshold switch to On/Off to enable/disable minimum time threshold.
  4. When enabled, the  Minimum Time Threshold  field is available allowing you to choose a number and a unit of time (seconds, minutes, or hours) for defining your minimum time threshold.

Note: Time entries that are shorter than the set duration will not be sent to your iTimekeep.
